An easy to follow at-a-glance diary that shows you via a colour-coded Calendar and Simple Table Layout when hires are due to go out or come back in.

A quick and easy display that provides a ready reference to keep track of stock movement particularly during Peak Periods.

Customer Form

This is what the customer sees.

Once you create the form for your customers to complete, it HAS to display on the webpage you chose during your registration process*.

To do this, you must add the code that you will see in the panel at the bottom of the form you create.

Simply Copy & Paste it into the appropriate place in your webpage HTML .

The code produces an iframe which displays the form.

Payment Types

Ezibook allows you to control how each form functions.

The 3 payment options for the Customer Form available are

1. Bond/Deposit Only – PayPal
2. Full Amount – PayPal
3. Manual Payment – not processed through PayPal

The Customer Form and the Backend Form are independent of each other for this setup.

EG - Accept Bond Only in the Customer Form and Manual Payment in the Backend Form.

Booking & Requests

The main area for the Administrator to view and manually add Bookings.

• View Pending Booking requests (Unpaid)
• Manually add a Booking
• View current Bookings (Paid or settled)
• Edit Booking Requests. If the client changes their mind, you can easily edit dates and then handle any extra charges / refunds due.
• Delete Booking Requests. The client has been forced to cancel their booking, so you can easily delete the Booking, making the Item instantly available for hire once again. After the cancellation, you can manage any refunds due.
• An at-a-glance table showing Payments Received.
• All bookings are automatically allocated a Booking ID. This can be used for correspondence.

Custom Built Booking Form

You have the ability to custom build your Booking Form.

It will be displayed on YOUR webpage of your choosing (Part of your Registration Process).

Add –

• Text Fields
• Email Fields
• Numeric Fields
• Textarea Fields

All these fields can be selected as Mandatory or Optional.

This Booking Form is used both in the Administration Area for you to manually enter bookings, or from the Customer Form attached to your website.

The first time you visit this area no form will be available until you “build” one. You do this by clicking ADD FORM.

Upon establishing the form you will see it contains generic contact information and right at the bottom is the HTML code that you would copy and paste into the webpage you indicated during your signup process. Talk to your web developer if you are unsure how to do this.

Once the form has been established you can ADD FIELDs to customise the form EG Add a TEXTAREA for an Address, add TEXT for a standard input area etc.

This form can be used in two different ways – 1) the frontend form (if you place it in a webpage) and 2) in the Admin area for you to manually add bookings.

My Profile – Provides a complete overview of your account details.

Settings –

• Where you can change your password
• Select how many records to display on a page
• Assign a tax code and percentage EG GST 10%
• Set your Terms and Conditions
• Update your PayPal Account Email Address ( if you do not wish to use the Customer Booking Form, use your business email address – you can always change it later)
• Sign Out – Logout of your Administration Area.

Optional Extras

Extras are your opportunity to upsell and value add.

They are those additional items and/or accessories that make their experience or use of your product/service even better.

An example -

Hiring a Camper Trailer and being able to offer optional extras that they can select individually such as -

1. Table/Chairs
2. Linen
3. Cutlery
4. Camp Oven

Items Setup

Items are the stock or inventory of the product that you have available for hire associated with a CATEGORY TYPE.

Using the example above of the Pizza Oven for hire…

The Items could be

1. No.1 Oven
2. No.2 Oven
3. No.3 Oven

That means you have 3 Ovens for hire at any one time.

Set your prices – per Day/Hire Period

Category Setup

Add the packages (Category/Types) that your potential clients can choose from. This is what your customer books.

• The combination and use of Types, Items and Extras are what makes Ezibook so versatile. Your use of these functions gives Ezibook the ability to work for almost any type of booking.
• Promote single items (EG Pizza Oven)
• Can contain mutliple items as a package.
• Set your prices – per Day/Hire Period
• Set Seasonal Prices
• Set Discounts/Insurance/Bond/Deposits
• Set Minimum Hire Times

The Type is a total hire package available to a client. It can range from a single MAJOR item or a group of items placed together to form for example a “Holiday Package” which contains multiple items.

Category Type does not include specific items such as the registration number of a particular car etc (This is done under “ITEMS”).

Once you have entered the Type details and hit Submit, you will then have to select the new Type and select Activate located directly below it.

Below demonstrates two variations to setup Category Types 

Package Example

• TYPE NAME – DIAMANTINA PACK
• TYPE DESCRIPTION – This great pack includes an Off Road Caravan and a 60 Litre Engel Fridge/Freezer.
• BOND – The amount you want to charge for this particular Hire Package.
• TYPE IMAGE – Select an appropriate picture that best highlights this Hire Package.

This small picture is displayed on the frontend booking form (if in use) to provide a visual  representation to the hirer.

Singular  Type  Example

• TYPE NAME – Pizza Oven
• TYPE DESCRIPTION – Gas fired with bottled supplied on 6×4 Trailer etc etc
• BOND – The amount you want to charge for this type.
• TYPE IMAGE – Select an appropriate picture that best highlights this Hire Type

This small picture is displayed on the frontend booking form (if in use) to provide a visual  representation to the hirer.

 APPLY GST on this item – Yes or No

The DEFAULT PRICE is a price that you set that if a hirer wants to hire an ITEM from you and the hirer picks a date (EG books something 2 years in advance where you haven’t assigned a costing as yet), the default rate will be used.

RATES  – The RATES allow you to place a price on ANY period of the year.

IE If you want to charge more for holiday periods, then place these dates etc in the rates.

DISCOUNT CODE – You can set discount codes for prizes, giveaways, specials. These discount codes are only known to you and are only publicised to specific people or where you deem appropriate. This works hand in hand with ADD DISCOUNTS below. An example of a discount code could be DISC10, showing a 10% discount for the time you specify.

PLEASE NOTE:

When adding Rates, you cannot overlap dates. For example: if one time period runs from ‘1st January 2010’ to ‘1st March 2010’ then you cannot enter the same duration twice. You also cannot enter a duration such as ‘1st January 2010’ to ‘1st February 2010’ in the same type as you have already entered the duration ‘1st January 2010’ to ‘1st March 2010’.

The same applies to the Discount section.

•  As a helpful hint – use a hard copy calendar to ensure there is no overlap and then transfer these dates to the Ezibook Rates section

 Whenever entering new Rates or Discounts please ensure you click the ‘Submit button’ at the top, otherwise the new rate will not be applied.
